Automated Subscriber Sync Between Subscription Platform and Client CRM
The Problem
PF relies on a Subscription Platform to manage their newsletter audience, but the subscriber data needed to live in their Client CRM so the sales and relationship teams could see accurate, up to date subscription status. Without an integration, this meant manually checking the Subscription Platform and updating the Client CRM by hand, which was slow, error prone, and impossible to keep current as the subscriber base grew. On top of the day to day sync problem, there was also a backlog of historical subscribers that had signed up over a specific period and had never been reflected in the Client CRM at all.
The Solution
I designed and built an n8n workflow that connects the Subscription Platform directly to the Client CRM. The workflow pulls subscriber records from the Subscription Platform, checks whether a matching contact already exists in the Client CRM by email address, and then either updates that contact’s subscription status and tier or creates a brand new contact record if none exists. Alongside the always on sync, I built a one off version of the same workflow to handle the historical backlog. This version targets subscribers created within a specific date window, pulling records from the Subscription Platform sorted newest first and filtering them down to only the ones that fall inside the required range, while stopping pagination early once it passes the start of the window so it is not pulling through the entire subscriber history unnecessarily. During testing I also identified and fixed a logic issue where contacts that did not yet exist in Client CRM were silently failing to be created, caused by an unnecessary data splitting step that had nothing to split on that branch. Removing it meant the create path worked reliably for every new contact.
The Outcome & Value Delivered
PF now has a reliable, repeatable way to keep the Client CRM in step with the Subscription Platform, both as new subscribers come in and for one off historical backfills covering a defined date range. The workflow processed a backlog of hundreds of subscriber records, correctly separating existing contacts that needed updating from brand new contacts that needed creating, with subscription status and tier set correctly in the Client CRM for both. The result is less manual admin, a more trustworthy CRM, and a workflow that can be reused for future one off data pulls, including from other 3rd party data subscriptions.
