Locking Down Business Data for an International Team with Azure Virtual Desktop
The Problem
A small international business, with people working across the UK, India and the US, had a clear priority: its documents and client data must never leak. Staff were using their own personal laptops and phones, which the business could not fully control, and information was in reach of anyone with a login and a browser. Without ownership of those devices, there was no easy way to stop data being copied, synced or forwarded to places it should not go. The business needed strong security without the cost of buying and managing a laptop for every person.
The Solution
I designed and built a cloud-only Azure Virtual Desktop environment, with no on-premises servers. Each person gets a secure Windows 11 desktop hosted in Microsoft Azure, in a region close to them, and works inside it from any device. Business data stays in the cloud desktop rather than on personal machines. The build includes: Individual identities and managed hosts. Every user signs in as themselves, with no shared accounts, and every desktop host is managed through Microsoft Intune and protected by Microsoft Defender. Profiles that follow the user. Settings and files roam between hosts, so people get the same desktop every time. Email locked to the company mailbox. Outlook is restricted so business email can’t be mixed with personal accounts. Automatic screen lock after a short period of inactivity. Cost-aware scaling. Hosts start ahead of the working day and shut down when they are not needed, with the schedule set separately for each region’s time zone. Alerting. Compliance and threat alerts go to a monitored mailbox. Rollout was staged: a solo validation first, then real users in the UK, then India, so each step was tested before the next began. The next stage is Conditional Access and multi-factor authentication, which will block direct access to business data from unmanaged devices, so the virtual desktop becomes the only route in.
The Outcome & Value Delivered
Today, the UK team is fully on the platform and the India team is built and live, with the US to follow. The business now has: Data kept in one controlled place. Documents live in the cloud desktop, not on personal laptops. No hardware purchase. The team keeps using the devices they already own. Predictable running costs. Hosts only run when people need them. A clear path to certification. The build supports the business’s preparation for Cyber Essentials, with ISO 27001 as the longer-term aim. One consistent experience. Everyone gets the same secure desktop in every region. The project is still moving. The remaining stages will complete the picture by making the virtual desktop the only way to reach business data.
